Standing Committees Descriptions
Budget and Finance (led by Treasurer) —Develops budget and recommendations to the Board for financial affairs of JGSPBC. Recommends pricing for events for guests, and for members to the extent not included in membership, such as lunch and learn programs. Recommends to the Board the dues levels for membership annually.
Education and Speaker’s Bureau – Provides learning experiences for members and guests in an individual or small-group format. Coordinates outreach and speaking engagements at institutions in South Florida
Internal Communications and Newsletter – Edits Scattered Seeds and disseminates it to the membership. Insures that reprinted materials from other publications conform to copyright requirements, or that permission in writing (including electronic writing) is obtained. In coordination with the Programs Committee and the Technology/Internet Committee, drafts and recommends to the Board notices to members concerning events and items of interest to members, both from JGSPBC and other genealogical organizations.
Liaison – Maintains and promotes communication and coordination with other JGS organizations and with non-Jewish Genealogical groups in Florida, with a view to promoting sharing of resources and mutual assistance between organizations. Maintains contact and communication with IAJGS. Coordinates with the Internal Communications and Newsletter Committee to inform members of programs and opportunities that may be of interest that are offered by other societies.
Library – Develops plans and strategies for the use of library resources by members, and for making library assets, including external memberships paid by JGSPBC, available to all members in the best way possible.
Member Research Assistance (formerly, “Brick wall”) – Assists members in their research needs. Presents research strategies and suggestions that may be of interest to members at monthly meetings and as otherwise needed. Develops and executes one-on-one and small-group mentoring sessions (usually by Zoom).
Member Welfare (formerly, “Sunshine”) Develops and maintains accurate lists of member birthdays and anniversaries and sends appropriate greetings from the Society. When notified of a member or member family death or hospitalization, sends appropriate condolences and other communications. Informs other members of member deaths and hospitalizations.
Membership (led by VP Membership) – Recruits and retains members. Develops programs and strategies for recruiting members and informing institutions and their members of JGSPBC opportunities.
Policies, Procedures, By Law Revision and Records Retention – Develops recommendations to the Board for revision to JGSPBC Policies and Procedures. Insures that the JGSPBC ByLaws and other organic documents are kept up to date and current. Insures that Policies, Procedures, ByLaws and other organic documents remain in compliance with Fla. Stat. chapter 617 (Not for Profit Corporations), and makes recommendations to the Board as appropriate. In concert with members of the Executive Committee, develops, recommends to the Board and implements appropriate policies for retention and routine disposal of Society records.
Programs (led by VP – Programming) – Develops, schedules and implements recommendations to the Board for programs to be presented to the membership with a view to increasing attendance at meetings (electronic or in person), as well as the geographic spread for those programs. Contacts and contracts with speakers for those programs as authorized by the Board, following the budget set by the Board. Makes recommendations for the format for presentation of those programs.
Publicity and External Communications – Develops and executes publicity for events of the JGSPBC. Places announcements of events on IAJGS forums and calendars, JewishGen.org, ConferenceKeeper.org and other appropriate websites. Disseminates event publicity to other genealogical organizations and religious institutions in consultation with Liaison Committee. In concert with the Technology/Internet Committee and the Membership Committee, develops and executes strategies to increase the Society’s internet presence and recruitment efforts.
Reception and Security – Greets members and guests at functions of the Society, and insures that appropriate guest fees have been paid, and appropriate registration information has been provided. Coordinates with Technology/Internet Committee to insure lists of attendees are accurate. Determines appropriate level of security arrangements for meetings with a view to potential threats to member safety.
Technology/Internet – Develops and recommends to the Board plans for electronic communications to members, including revision of website information and social media accounts as appropriate. Makes recommendations to the Board concerning hiring of appropriate IT personnel, as well as contents of contracts and statements of work that will govern the efforts of those IT personnel. Works directly with IT personnel to insure that information on the Society’s website is accurate, timely and informative. Works with Library Committee to develop and implement portals for use by members of online services obtained by the Society. Makes recommendations to the Board for acquisition of additional online resources for members through those portals.
